When you use ZenDash, we collect the following information:
- Account Information: Name, email address, and password (encrypted) provided during registration or by your organization's administrator.
- Employment Data: Employee profile details, department, designation, reporting hierarchy, and other HR-related information as configured by your organization.
- Attendance Data: Check-in and check-out timestamps, activity logs, and timesheet entries.
- Leave Data: Leave requests, approvals, balances, and leave type preferences.
- Authentication Tokens: Securely stored JWT tokens for maintaining your session.
2. How We Use Your Information
We use the collected information to:
- Authenticate you and maintain your secure session
- Display your employee profile, team hierarchy, and organizational data
- Process and track attendance, leave requests, and payroll information
- Send notifications about leave approvals, team updates, and HR events
- Provide role-based access to features based on your permissions
3. Data Storage and Security
- Authentication tokens are stored using your device's encrypted secure storage (Android Keystore).
- All data is transmitted over HTTPS (TLS encryption).
- We use role-based access control — you can only access data your organization has authorized you to view.
- Your password is never stored in plain text on the device or server.
4. Data Sharing
We do not sell, rent, or share your personal data with third parties for advertising or marketing purposes.
Your data may be shared only in the following circumstances:
- Within your organization: Your HR data is accessible to authorized personnel (managers, HR admins) within your organization as configured by your administrator.
- Service infrastructure: We use Amazon Web Services (AWS) for hosting and secure storage. AWS processes data under strict data protection agreements.
- Legal requirements: We may disclose information if required by law, legal process, or government request.
5. Permissions
ZenDash requests minimal device permissions:
- Internet Access: Required to communicate with the HR management server.
- Secure Storage: Used to securely store authentication tokens on your device.
We do not access your camera, contacts, location, microphone, or phone storage.
6. Data Retention
Your data is retained for as long as your account is active within your organization. When your employment ends or your account is deactivated by an administrator, your data is handled according to your organization's data retention policy. Authentication tokens stored on your device are cleared upon logout.
7. Your Rights
You have the right to:
- Access your personal data stored in the app
- Request correction of inaccurate data (through your HR administrator)
- Request deletion of your account and associated data
- Withdraw consent by uninstalling the app and requesting account deletion
8. Children's Privacy
ZenDash is intended for users aged 18 and above. We do not knowingly collect data from anyone under 18 years of age. If you believe a minor has provided us with personal information, please contact us immediately.
9. Changes to This Policy
We may update this privacy policy from time to time. We will notify you of significant changes through the app or by updating the "Last updated" date above. Continued use of the app after changes constitutes acceptance of the updated policy.
